Employee Import Guide

Employee information can now be imported into Phoenix. On the Employee tab, there is now a blue Import Employees button. This will allow the user to import new employees and/or to update existing ones. 



Pressing Import Employees will open a screen that allows you to make selections and choose a file to import. Each option is described below. 


Import Type will remain static as CPO Dynamic CSV Employee Data 

Function has two options: Add Employees or Update Employees 

Company has two options: Specified in Import File meaning you will provide a column with the Company Code or the company can be selected from the drop down list. The drop down list will only show the companies the user who is logged in has access to. If a company is selected and the Company Code provided in the import file does not match the selected company the employee will be skipped. Also, if no Company is selected and the Company Code provided in the file is not a company the user has access to the employee will be skipped. 

Employee Template has two options: Specified in Import File meaning you will provide the employee template to be used for each employee being imported or you can choose from the drop down list. The drop down list will populate if you have chosen the company in the above Company drop down and will show templates associated with that company. If a template is selected, it will be used for all employees in the file even if a different template is specified in the file. If you have multiple template selections in the file make sure to use Specified in Import File to ensure employees are imported with the correct template. 

File to Import will allow you to browse your computer to find the file to upload. 

Below that are two download files that shows specifications for the file you will create and a basic template you can use to build your file. You can download these once and save or download as needed.

Import Template (basic) takes the specifications and creates a basic template for you to start with: 


Note that not all fields are included in the basic template and any Fields from the specification file can be added to Row 1 to be included in the import. Remember to check and see what is required per the specifications before importing your file. 

After your file has been populated and all options have been chosen and your file added press Import. 


Troubleshooting 

File must be saved as a CSV file. Templates are CSV by default for ease of use. 

Files will error out if the company is in Read Only. Make sure this is not the case before attempting to import a file. 



Make sure to read which fields are required. Some are required only when adding new employees and some are required only when updating employees. Example is Active and TerminationDate. Employee will not be terminated if only TerminationDate is included in the file. Active must be included in file as well with N.
